ENGAGEMENT AND ADMINISTRATIVE SUPPORT COORDINATOR

Position Summary

This position is comprised of two distinct work responsibilities: those related to donor engagement and those related to administrative support for the Chief Executive Officer and Board of Directors. Thus, the successful candidate will balance their time between supporting the activities of the Chief Marketing Officer and Chief Executive Officer.

Reporting to the Chief Marketing Officer, donor engagement responsibilities include:

  • Being the “face” of Mercy Ships Canada for a significant portion of our donors, volunteers and alumni. The successful candidate will steward relationships with our donors and volunteers in order to cultivate authentic and growing relationships with Mercy Ships Canada. Success in this role is demonstrated in donor and volunteer growth, satisfaction, retention and increased giving.

Reporting to the Chief Executive Officer, administrative support responsibilities include:

  • Serving as a primary point of contact for internal and external stakeholders on designated matters pertaining to the Office of the CEO. The administrator also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

Responsibilities

Engagement Coordinator

As Engagement Coordinator, the successful candidate will support the work of Mercy Ships Canada as it pertains to donor, volunteer and alumni engagement by:

  • Developing and building relationships with current and potential donors, alumni and volunteers
  • Sending out gift acknowledgements on behalf of the CEO and the Chief Marketing Officer
  • Researching individuals, organizations and foundations in terms of their capacity and inclination to support the work of Mercy Ships
  • Recruiting, screening, training and recognizing non-crew volunteers from central Canada, and coordinating volunteer engagement at fundraising event
  • Assisting the Marketing Support Specialist in building relationships with Mercy Ships Canada alumni, by coordinating re-entry support, publishing an alumni newsletter, developing a Speaker’s Network and by encouraging and supporting alumni fundraising initiatives for Mercy Ships Canada.

Administrative Support Coordinator

As Administrative Support Coordinator, the successful candidate will complete a broad variety of administrative tasks for the CEO including:

  • Composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Communicating directly, and on behalf of the CEO, with Board members, donors, foundation staff and others on matters related to CEO’s programmatic initiatives
  • Supporting the CEO’s role as Secretary to the Board of Directors by helping prepare Board and Committee meeting agendas, coordinating meetings, and taking minutes and preparing reports of meetings
  • Researching, prioritizing, and following up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature
  • Helping identify appropriate courses of action, referral, or response
  • Working closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
  • Providing leadership to build relationships crucial to the success of the organization, and managing a variety of special projects for the CEO, some of which may have broad organizational impact

Core Competencies

  • Excellent telephone and reception skills
  • Good time management skill with ability to handle multiple tasks and deadlines
  • Ability to engage knowledgeably and with personal conviction with varied expressions of the Christian community
  • Skilled in the use of Word, Excel and PowerPoint; experience with Donor Perfect or other Customer Relationship Management Software preferred
  • Detail oriented
  • Proven time management and organizational skills
  • Empathetic, friendly and outgoing team player

Required Skills & Experience

  • Minimum of two years’ experience in customer service, volunteer management and/or fundraising.
  • Must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented.
  • The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
  • The ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Qualifications & Education

  • Supportive of the Mission and Vision of Mercy Ships and committed to its core values
  • Fluent in English; fluency in French is strongly preferred
  • Bachelor’s degree or a combination of relevant education such as fundraising, volunteer management, office administration or legal secretary

  • 40-hour work week; 8 hours daily from Monday to Friday with some flexibility to organize work schedule between 08:00 and 18:00 ET, or later as needed occasionally for events

MARKETING SUPPORT SPECIALIST

Position Summary

This role will be critical in supporting the delivery of the Mercy Ships Canada marketing and fundraising strategy and in facilitating revenue generation, in addition to raising the profile of Mercy Ships Canada amongst key external audiences.  The Marketing Support Specialist will report to the Chief Marketing Officer and be a key part of the Mercy Ships Canada marketing team.  This role will lead a number of marketing and fundraising initiatives, supported by a robust program plan of milestones, will manage key stakeholders and will work with an approved budget.  This role will also be responsible for ensuring that these activities run smoothly on a day-to-day basis and are well integrated into the regular operations of Mercy Ships Canada.

Responsibilities

Reporting to the Chief Marketing Officer, key responsibilities include:

  • Taking the lead on community engagement and events: Progressing our speakers’ network; forming and executing a church engagement strategy; and, managing the calendar of events for Mercy Ships Canada
  • Progressing the development of the Mercy Ships Canada alumni network: Responsible for creating the overall program structure for the alumni network; working closely with the crew coordinator to manage volunteer transition back to shore and the engagement coordinator to initiate them into the alumni network; and, executing a roadmap for the establishment of a national alumni network consisting of alumni chapters.
  • Taking the lead on cultivating and developing a strategy to secure legacy gifts
  • Managing the process of securing foundation grants
  • Developing and implementing innovative fundraising initiatives to secure new income streams
  • Supporting the CEO for the cultivation of relationships with high net worth donors
  • Supporting the Chief Marketing Officer for the cultivation of relationships with corporations

  • Strong written, verbal, interpersonal and communication skills
  • Excellent organizational and time management skills
  • Maturity, judgment, and discretion in dealing with confidential, sensitive matters
  • Ability to engage knowledgeably and with personal conviction with varied expressions of the Christian community
  • Ability to prioritize conflicting demands and work within tight deadlines
  • Ability to work with supervision and direction
  • Skilled in the use of Word, Excel and PowerPoint; experience with Donor Perfect or other Customer Relationship Management Software preferred
  • Empathetic, friendly and outgoing team player
  • Fluency in the French language is advantageous but not required
  • Knowledge of fundraising and the charitable sector is advantageous but not required
